Migration Guide

Moving to FleetSpire,
step by step.

FleetSpire is in early access. This is the approach we are planning for early-access accounts: no big-bang cutover, and your old system stays available while you move over. Timing is confirmed per account; nothing here is a guarantee.

Our approach

Five stages, at your pace.

Stage 1

Step 1 of 5

Account setup

Set up your workspace, configure your company profile and invite your team. ELD connections come after the first setup.

  • Company profile & branding
  • Team invites & role assignment
  • ELD connection
  • Phone & email preferences

Stage 2

Step 2 of 5

Data import

Import your drivers, trucks, and customer list. CSV import; supported export formats are confirmed per account.

  • Driver records & licenses
  • Truck & trailer inventory
  • Customer & carrier contacts
  • Historical load data (optional)

Stage 3

Step 3 of 5

Workflow testing

Run your first test load end-to-end: dispatch → document capture → invoice. Find any gaps before going live.

  • Test dispatch workflow
  • Upload a rate con for AI reading
  • Send a driver a test message in the app
  • Generate a test invoice

Stage 4

Step 4 of 5

Team training

Walk your dispatchers and drivers through their daily workflows. Training is short, role-based walkthroughs.

  • Dispatcher walkthrough
  • Driver app install & orientation
  • Billing team invoice workflow
  • Admin/owner reporting overview

Stage 5

Step 5 of 5

Go live

Run your first real loads through FleetSpire. Your old system stays accessible for historical reference.

  • First live dispatch
  • AI document reading on real rate cons
  • Driver app live on real loads
  • First invoice generated

What you need

Less than you think.

FleetSpire is designed for busy operators — not IT departments. Here's what you need to get started.

  • A list of your drivers (CSV or manual entry)
  • Your truck inventory
  • Customer/shipper contact list
  • ELD details (optional)
  • Load board account (optional)

What you don't need

Leave this behind.

The aim is no IT project and no weekend cutover. Confirmed per account.

  • A dedicated IT team
  • A weekend cutover window
  • Custom integrations to start

Common questions

Migration FAQ

What do I need to migrate from my current TMS?

A CSV export of your drivers, trucks, and customer contacts is the expected starting point. Supported formats are confirmed per early-access account.

Will my team need a lot of training?

FleetSpire is designed for real dispatchers — not software engineers. The workflow is built to be learned quickly. Training scope is confirmed per early-access account.

Can I run FleetSpire alongside my existing system during the transition?

Yes. Running both in parallel for a while before fully cutting over is the recommended approach. There is no pressure to turn off your old system.

What happens to my historical data?

You keep access to your old system for historical reference. Whether historical load data can be imported is confirmed per early-access account.

Is there a migration fee?

Migration terms, fees and what setup help is included are not set yet. They will be confirmed before you commit.
